  • Minimum Booking: 30 guests

    Booking Lead Time:

    • Standard lead time recommendation is no less than 2 weeks.

    • Holiday lead time (November / December) is 4-8 weeks due to high seasonal demand.

    • Large scale activations & events with custom branding require a minimum of 4-6 week lead times.

    Staffing Guidelines:

    • Workshops: 1 facilitator per 15-20 guests

    • Fragrance Bars: 1 facilitator per 25-35 guests.

    • Additional staff are assigned based on guest count, event format, and service needs.

    Event Day:

    • Client Provides:

      • Venue Access (in advance of event start time)

      • Parking

      • Loading instructions

      • Guest seating and tables

      • Access to electricity and water source

    • Arrival Time:

      • At least 90-minutes before the event start time.

      • Large scale events and workshops may require additional setup time. Your HOST event coordinator will coordinate this with you in advance of your event.

    • Departure Time:

      • Post-event breakdown averages 60-minutes. For larger activations this may increase to 90-minutes.

    • Load in/out:

      • Versa Scents arrives with rolling carts containing event materials, displays, and equipment. We require convenient access from the unloading area to the event space, including elevator access if applicable. Reserved parking or a designated loading area is preferred to ensure efficient setup & breakdown.

    • Setup and breakdown are included on the event price.

    • 30-50 guests: $30/pp, up to 2 hours

    • 50-75 guests: $28/pp, up to 3 hours

    • 75-100 guests: $26/pp, up to 4 hours

    • 100-150 guests: $24/pp, up to 5 hours

    • 150+ guests: Custom quote

    • Additional time: $120 per hour

    Minimum investment: $900 per event
    Includes professional staffing, luxury bar display, setup, breakdown, and event management.
